Project Overview

Digital Workplace Hub (DWH) is an internal SharePoint-based portal used by 55,000+ ING employees globally to support adoption of Microsoft 365 tools through trainings, demos, and tips. The platform suffered from dense content, unclear navigation, and mixed priorities, making it difficult for employees to find relevant resources. Improving DWH was critical to increasing employee competence, onboarding efficiency, and tool adoption at scale.

Problem Statement

The main issue was not the lack of content, but the structure and clarity of the platform, which made it difficult for employees to use it effectively. Learning resources, trainings, and quick tips were hard to find and not clearly prioritised, while inconsistent navigation and page flow caused confusion.

Employees felt overwhelmed, struggled to adopt Microsoft 365 tools, and relied more on support instead of using the platform as a self-serve learning hub.

Research Process

I started with a hands-on analysis of the existing portal to understand how employees actually used it and where it failed to support them.

  • User groups and use cases — helped clarify who the portal was for and what employees were trying to achieve in real work situations.

  • Content and usage review — revealed how dense information and unclear hierarchy affected understanding and navigation.

  • Value proposition mapping — reframed the portal from an employee perspective, focusing on learning, support, and daily efficiency.

  • Employee interviews across regions — short conversations with employees in different countries surfaced differences in needs.

Solution

The final solution included a redesigned Digital Workplace Hub with structured navigation and consistent layouts, plus an interactive Microsoft 365 Map as a dedicated feature.

Structured Pages & Navigation

Structured Microsoft 365 pages using filters, icons, and breadcrumbs to help employees quickly find tips, tools, training, support, and onboarding.

This clarified where users were, what each section was for, and helped employees complete tasks faster with less confusion.

An interactive world map

Designed for employees to quickly understand Microsoft 365 tool availability across global offices. The interactive map presents regional availability, using hover and click interactions to explore tools by country.

By replacing long explanations with a clear visual overview, it makes complex organisational information easier to understand and supports better global collaboration.
